Privacy Policy

SilverQuest Consulting Pty Ltd (ABN 85 113 233 622), trading as SilverQuest, respects the privacy of the people and organisations we work with. This policy explains what personal information we collect, why we collect it, who we share it with and how you can access or correct it.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

We collect personal information that is reasonably necessary for our work. Usually that is business contact information:

  • name, job title and employer
  • business email address and phone number
  • the content of enquiries you send us, and our correspondence with you
  • information you give us during an engagement, including access credentials and details of the systems we are asked to work on
  • information collected automatically when you visit our website, such as IP address, browser type and pages viewed

We do not seek sensitive information, and we ask that you do not send it to us unless it is genuinely necessary for the work.

How we collect it

Most of the personal information we hold comes directly from you: through our website enquiry form, by email or phone, at meetings, or in the course of delivering a project.

Sometimes we collect information from third parties, such as a client who provides the contact details of their staff so that we can work with them, or publicly available sources such as a company website or LinkedIn profile. Where we do that, we take reasonable steps to make sure the individual is aware of this policy.

Why we use it

We use personal information to:

  • respond to enquiries and provide quotes and proposals
  • deliver, support, maintain and monitor the systems we are engaged to work on
  • manage our relationship with clients, partners and suppliers
  • meet our contractual, legal, accounting and insurance obligations
  • improve our own services and website

We do not sell personal information. We do not send marketing to people who have not asked for it.

Client data

When we work on a client’s systems, we may come into contact with personal information belonging to that client’s own customers, staff or suppliers. We treat that information as the client’s. We only access it where it is necessary to do the work, we handle it under the confidentiality and security terms of our engagement with that client, and we do not use it for our own purposes.

Who we share it with

We may disclose personal information to:

  • our staff and contractors, on a need-to-know basis
  • service providers who support our business, such as hosting, email, accounting and IT support providers
  • a client or partner, where that is part of delivering an engagement
  • professional advisers such as lawyers, accountants and insurers
  • anyone else where you have consented, or where we are required or permitted by law

Our business systems, including hosting and email, are located in Australia. The one exception is the website analytics tools described below, which are operated by providers based overseas. Before disclosing personal information overseas we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

Artificial intelligence tools

We use AI tools in parts of our work. Where we do, we are deliberate about what goes into them. We do not put client data or personal information into a public or consumer AI service. Where AI tools are used on an engagement, the arrangements are agreed with the client in advance, and the choice of tool and where it runs form part of that agreement.

Automated decisions

We do not use computer programs to make, or to substantially help make, decisions that significantly affect the rights or interests of individuals. Decisions about recruitment, interviews and performance are made by people, not by software.

Security

We take reasonable steps to protect the personal information we hold from misuse, loss, and unauthorised access, modification or disclosure. Those steps include access controls, encryption of data in transit, restricted administrative access, and staff and contractor confidentiality obligations. Our systems are hosted in Australia.

No system is perfectly secure. If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

How long we keep it

We keep personal information for as long as it is needed for the purpose it was collected, and for as long as we are required to keep it by law or under an engagement. When it is no longer needed, we destroy it or de-identify it.

Cookies and website analytics

Our website uses cookies to make the site work properly and to understand how it is used. We use Google Analytics 4 and Google Tag Manager to measure traffic and how people move through the site, and Microsoft Clarity to see how pages are actually used.

Microsoft Clarity records visitor interactions such as mouse movement, scrolling and clicks, so that we can find the places where the site is unclear. Those recordings are masked, so text typed into forms is not captured.

These tools are operated by Google and Microsoft, and they involve information being processed outside Australia, including in the United States. We do not use them to identify individual visitors.

You can block or delete cookies through your browser settings, though parts of the site may not work as intended if you do. Google also publishes a browser add-on that opts you out of Google Analytics.

Access and correction

You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong. Write to us at the address below. We will respond within a reasonable time, normally within 30 days. In the rare cases where we cannot give you access, we will tell you why in writing.

Complaints

If you think we have mishandled your personal information, contact us first at the address below and we will look into it. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.

If you are not satisfied with our response, you can take the matter to the Office of the Australian Information Commissioner: oaic.gov.au, 1300 363 992, or GPO Box 5288, Sydney NSW 2001.

Changes to this policy

We review this policy from time to time. The current version is always available on this page, and the date at the top tells you when it last changed.
